This guide explains how to use a meeting room control panel to start meetings, control room equipment, and shut the room down correctly.
Please note: These are simple, general steps. Depending on the control panel model, room design, and system programming, available features and screen layouts may differ slightly. While layouts may vary, most Crestron, AMX, and Extron panels function in a similar way.
Getting Started
- Wake the control panel by touching the screen.
- The Home Screen will appear, showing room control options.
If the screen is unresponsive, ensure the room is powered on.
Typical Home Screen Options
Most control panels include some or all of the following buttons:
- Start Meeting / Power On – Turns on the room equipment
- End Meeting / Power Off – Shuts down the room
- Sources – Select what is shown on the display
- Volume / Audio – Adjust room audio levels
- Camera Controls – Adjust camera view (if applicable)
- Help – Contact support or display instructions
Selecting a Source
- Press Sources on the control panel.
- Select the required source, such as:
- Room PC
- Laptop (HDMI / USB-C)
- Wireless presentation
- Video conferencing system
- Confirm the selected source appears on the display.
Adjusting Volume & Audio
- Press Volume or Audio.
- Use the on-screen slider or buttons to increase or decrease volume.
- Mute or unmute the room if required.
Camera Controls (If Available)
Some rooms allow camera control directly from the panel.
- Select Camera Controls.
- Use arrows to Pan / Tilt the camera.
- Use Zoom In / Out to adjust framing.
- Select camera presets if available.
Presets are ideal for presenter or group views.
Ending Session / Shutting Down
- Press End Meeting or Power Off.
- Confirm when prompted.
- Wait for the display(s) and equipment to shut down.
Proper shutdown prevents equipment being left on unnecessarily.
Best Practice Tips
- Always start meetings using the control panel
- End meetings using Power Off, not just the display remote
- Do not unplug cables during operation
Report unresponsive buttons or screens
Common Issues & Troubleshooting
Control panel not responding
- Wake the screen by tapping it
- Check the room has power
- Restart the room if instructed
No image on the display
- Confirm the correct source is selected
- Restart the meeting using the panel
Volume not changing
- Check the correct audio zone is selected
- Ensure the room is not muted
